- This is my first time applying, where do I begin? -top-
From the employment site (https://jobs.eku.edu) First, locate the position in which you would like to apply by clicking “search requisitions”. Once the position appears, click “view” under the title, then “apply for this requisition”, then “fill out a new application”. This will take you through the entire application process. - Is it necessary to fill out an online application? -top-
Yes, an online application is required to apply for positions with Eastern Kentucky University. You must use the OES. The online application requires important information that may not be included on a resume alone. - How do I apply for jobs? -top-
Applicants can apply for jobs via the OES. Once an online application is created, applicants may search for positions and apply to any in which they are interested and are at least minimally qualified. - Can I apply for jobs over the telephone? -top-
No. To be considered for a position, you must apply online. - Can I go to the Jones building (HR) to apply for jobs? -top-
Yes. There is a computer terminal in Jones 203, as well as Employment Analysts that can assist you in applying for positions. - Where can I get access to a computer terminal? -top-
You can use any computer with internet access or you may visit EKU HR in Jones 203. Additionally, most public and University libraries are equipped with computers and Internet access. - I’m looking for a position with a specific department and can’t seem to find it, what can I do? -top-
If you do not see the department you are looking for in the drop down box, it could be because it’s coded under an unfamiliar department name to you. If you know the position title, you can search by “position title”; or leave all search fields blank and click “Search” for a list of all openings. - Can I attach a resume to my application?-top-
Some positions allow you to attach a resume and some do not depending on hiring department preferences. The OES will automatically take you to a screen where your resume can be attached if the job allows it. Resumes must be in an electronic format such as Word or a PDF file. If you do not have your resume in one of those formats, you can copy and paste the data from another word processing program into the OES. Each attachment cannot exceed 2MB. If you still have trouble attaching documents, please contact Human Resources at 859-622-8874. - Can I use more than one resume? -top-
The OES enables applicants to save several versions of a resume, which can be attached to jobs for which they apply (see questions #4 on how to attach a resume). - Can I submit a cover letter?-top-
Some positions allow you to attach a cover letter and some do not depending on hiring department preferences. The OES will automatically take you to a screen where a cover letter can be attached if the job allows it. Cover letters must be in an electronic format such as Word or a PDF file. If you do not have your resume in one of those formats, you can copy and paste the data from another word processing program into the OES. The OES will automatically save several versions of a cover letter. Each attachment cannot exceed 2MB. - Do I have to submit a new online application every time I need to make changes or additions? -top-
No. The OES allows you to update and change your application at any time using the "Manage Jobs" feature. - What if I forgot my username and/or password? -top-
If you forgot your password, but still know your username, login with your username and click “I forgot my password”, you will then be prompted to answer the security question you initially set up. If you created a user name and password, and started the application, you can simply return to the last page that was saved (even if you had not completed all of the required fields). If you did not get far enough to create a username and password, you will need to start from the beginning. - How do I know if my application was received? -top-
When you successfully submit your application, you will receive a confirmation number immediately. Please retain the confirmation number incase you need it for future reference. - I applied for several jobs online. What is my status? -top-
Login to OES with your user name and password, and click on "Manage Jobs." Select the "Status" tab on the right of the screen. From here you can check on the status of any position for which you have applied. - I received a message that I was “unqualified” for the position, what does this mean? -top-
Several positions require specific criteria you must meet (education, experience, skills, etc). If you do not meet the minimum position requirements, your application will be automatically disqualified from consideration. - How do I go back and look at the job description for positions I’ve applied to? -top-
Login to the OES and click "Manage Jobs." From there you can view the job descriptions of all the positions for which you have applied. - What if I no longer want to be considered for a position that I applied for? -top-
Login to the OES with your user name and password, and go to "Manage Jobs". Go to "Status "of the position in question. The current status will be in black font. Under the current status, Click on "Withdraw Application". - I withdrew my application from consideration, but now I want to be reconsidered, can I resubmit my application? -top-
Once you withdraw your application, you will not have the ability to resubmit your application. Please contact Human Resources Employment if you want to be in the applicant pool. - How will salary be determined if I am offered a position? -top-
Salaries are determined by HR Compensation and are based on many factors including qualifications, experience, education, internal equity, market value, and departmental budgets. Faculty salaries are determined by the Provost office. Graduate Assistant stipends are determined by the Graduate School. Student salaries are determined by the Student Employment office in conjunction with their hiring department. - How do I know how much a position pays? -top-
Some positions will have the minimum salary advertised. If it does not, you may contact Human Resources “Employment” for the minimum salary. - Information has changed on my application since I applied for positions. Can the application be updated once it’s submitted?-top-
Log in to OES, on the left side of the screen click on "Manage Applications." Then click on edit for all the applications you have in the system (example: "Edit Regular Employment Application") Once you have completed the changes, please view the application to ensure that all information is correct. Finally, contact HR Employment at (859) 622-8874 and request that your most recent application be attached to positions for which you have already applied. You do not have the ability to update an application that has already been submitted for a position without Human Resources assistance. - Previously I attempted an online application and had difficulty. Now, when I enter my Social Security Number, the system tells me that another file exists with that number.-top-

The close date is the date that the position will be removed from the web site. Once a position is removed, we can no longer accept applications. The position will be removed at 11:59 pm on the night of the close date. - I applied for several jobs - when will I be contacted? -top-
If you are referred for a position and selected for an interview, the hiring department will usually contact you within 2 - 4 weeks after the position is closed. Hiring Officials are not required to contact or interview all candidates who have been referred. If you have provided a valid email address on your application, the HR Employment Office will send emails informing you of status changes for that position; you can also login and click on “application status” to view the status of the position in question. - How do I know if a position has been filled? -top-
Login to OES, go to the "Manage Jobs" screen. To the right you will see a blue tab that says "Status". Under the "Status" tab you will be able to check on any job to which you have applied. - How do I remove old jobs from my file ("Manage Jobs")? -top-
OES will not allow you to remove any jobs from your file. The University retains applicant records for 5 years after which the OES system will automatically purge records. - Will my Social Security Number be kept confidential? -top-
Yes. Your SS Number is kept confidential to the Human Resources Department. Hiring Officials will not have access to the “voluntary demographic information” or Social Security Number. Your Social Security Number is used to conduct a required criminal background check. - Why wasn’t I hired or called for an interview? -top-
Competition is very high for positions. Therefore, it is advised that you apply for any position in which you are interested and for which you are at least minimally qualified. Please recognize that given the intense competition, it is not unusual for over 50 people to apply for any one position. - Are there separate applications for Regular, Temporary, Faculty, and Student Employment? -top-
Yes. There are three types of applications: 1) Faculty Profile, this is used in applying for full time and part time faculty positions 2) Student application, this is used when applying for both student and GA positions 3) Regular/Temp Staff application, this is used when applying for any full or part time staff position, to include temporary position. However, once you have completed any one type of application, the OES will automatically populate similar fields on the others, if needed. - Can I apply for both regular and temporary positions? -top-
You may apply for temporary positions while also applying for regular positions. Please keep in mind that HR Temporary Employment jobs represent general job descriptions of temporary jobs often available. Temporary positions generally last from 3-6 months, and do not come with regular University benefits. - Can I apply for Student positions if I’m not an EKU Student? -top-
No. You must be enrolled at EKU to be qualified for a student position. - I’m an EKU student, but do not qualify for work-study. Can I still seek student employment? -top-
Yes. Some student positions are available that are non-work-study position. When viewing the position description, pay attention to the “funding source classification” to determine your eligibility. - Who is considered an “Internal Candidate”? -top-
An internal candidate is defined as a current EKU employee (full-time and part-time regular employees, and faculty). Temporary employees, graduate assistants and student workers are not considered internal candidates. - I applied for a Pooled position (PL), how long will my application be kept on file? -top-
The pooled positions are refreshed every 90 days, after the 90 days, you will need to resubmit your application to be considered for future openings. - I was hired for a position, do I need to come to HR to fill out paperwork?-top-
Students must complete new hire paperwork in the student employment office. Graduate Assistants must complete new hire paperwork in the HR office. Faculty and Staff will receive a welcome letter with details on their start and orientation dates, as well as information on when to come to the HR office to complete payroll paperwork.
